As an Administrative Coordinator, your primary responsibilities will include supporting daily operations in the truck shop, with a strong focus on processing invoices, ordering parts, and maintaining accurate records. This role reports directly to the Truck Shop Manager.

RESPONSIBILITIES AND EXPECTATIONS

  • Provide friendly, proactive, and professional internal and external customer support while assisting with inquiries, concerns, and issues promptly and effectively.
  • Actively participate in learning initiatives such as training programs, workshops, and webinars. Leverage these opportunities to acquire new knowledge, refine existing skills, and stay current on the latest developments.
  • Create and process invoices for repairs and services.
  • Order truck parts, tools, and shop supplies from vendors.
  • Compare pricing and availability between suppliers.
  • Coordinate with technicians to keep records current.
  • Maintain organized files for invoices, purchase orders, and service records.
  • Performed other duties as assigned.

PREFERED QUALIFICATIONS

 

  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn fleet and maintenance systems.
  • Comfortable navigating computer systems and software to assist customers or manage tasks.
  • Demonstrate strong written and oral interpersonal and communication skills while interacting with all levels of management at the DC and Store Support Center.
  • Working knowledge of DOT/FMCSA regulations and compliance processes.
  • Must be effective in a team environment.

PHYSICAL REQUIREMENTS

  • Must be able to sit or stand for prolonged periods.
  • Must be able to lift 50 pounds at times.
  • Must be able to access and navigate all facilities.
  • Must be able to verbally communicate effectively with others (in-person and via electronic devices).
  • Must be able to see at close and far distances.
  • Must be able to lift, bend, carry, and push repetitively.
