What You’ll Do

 

The Office Manager is responsible for overseeing the day-to-day administrative operations of the real estate office. This role ensures the office runs efficiently, supports brokers and leadership, maintains vendor and client coordination, and upholds a professional, organized environment.

The Office Manager serves as the operational backbone of the company—supporting transaction flow, office systems, and team productivity.

  • Oversee daily office operations to ensure a productive, safe, and well-organized workplace
  • Coordinate all leadership calendars and expense tracking
  • Manage RKR president’s email
  • Make travel and accommodation arrangements
  • Serve as the point of contact for IT support coordination and office logistics
  • Plan and support company meetings, events, and internal communications
  • Maintain office policies and procedures to support efficiency and consistency
  • Act as administrative support for Mattoon Sports Complex, , including but not limited to, scheduling meetings and taking minutes in the Board of Directors meetings

  • Support leadership with organizational planning and workforce needs
  • Act as a trusted advisor to managers and employees on HR and workplace matters
  • Promote employee engagement, wellness, and retention initiatives
  • Real Estate Deal Coordination
  • Oversee and actively manage real estate transactions from initial site research through closing, ensuring alignment with company timelines and objectives
  • Maintain accurate, real-time deal tracking within internal systems, providing clear visibility into status, milestones, risks, and next steps
  • Serve as the central point of coordination between brokers, attorneys, consultants, and internal stakeholders to ensure seamless communication and forward momentum
  • Proactively identify potential administrative, contractual, or documentation issues and drive resolution to prevent delays
  • Prepare and deliver consistent deal status updates to leadership, highlighting key developments, risks, and action items

 

Essential Qualities for Success

  • Bachelor’s degree in Business Administration or a related field preferred (or equivalent experience).
  • 3–7 years of experience in an executive administrative role or office management.
  • Excellent interpersonal, communication, and conflict-resolution skills.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities.
  • Willingness to travel as needed.
  • Ability to handle confidential information with discretion and professionalism.

Physical Requirements

  • Ability to communicate effectively and professionally to all audiences.
  • Good visual acuity.
  • Close vision for computer work and document review.
  • Repetitive wrist movements on keyboard.
  • Ability to sit/stand/walk for long periods of time.
  • Ability to walk up and down stairs multiple times per day.

The pay range for this position is $60,000 - $75,000 annually. Exact compensation is determined by factors such as relevant geographic location, education, certifications, experience, job level, shift, and organizational needs.
