What You’ll do

As a Facilities Coordinator, you will be trouble shooting, coordinating, and dispatching all store maintenance requests to ensure service-level agreement is performed.

 

  • Troubleshoot and dispatch incoming reactive requests for service for Rural King store facilities.
  • Responsible for vetting prospective service providers.
  • Responsible for ensuring preventive maintenance programs are maintained for all required equipment. 
  • Determine when a service or repair needed will require estimates.
  • Responsible for scoping, dispatching, reviewing estimates for approval, and coordinating with stores and contractors when approved.
  • Assist in creating and enforcing standard operating procedures guidelines for stores to self-help and ensure completed properly.
  • Responsible for daily follow up on all pending estimates and ensure that they are ready for review from multiple vendors timely.
  • Follow up on all approved estimates and assist in overall follow-up when time allows.
    • Call stores to inquire if the incident is complete and council stores on expectations for completed services.
    • Call Contractors if they are past the service-level agreement to see why they have not performed as scheduled and take appropriate steps to update the incident if the decision is made to re-assign the work.
  • Negotiate pricing with contractors to ensure the best price is acquired for the company.
  • Acquire and upload quotes received, and council contractors if company guidelines for submission are not followed.
  • Provide weekly updates on all ongoing open issues under your responsibility.
  • Route Invoices received to the proper destination and council contractors if the correct information is not submitted.
  • Acknowledge, respond, and route e-mails within a timely manner.
  • Responsible for registering all new vendors and negotiating the best price for services.
  • Actively participate in learning initiatives offered such as training programs, workshops, and webinars. Leverage these opportunities to acquire new knowledge, refine existing skills, and stay current on the latest developments.
  • Provide friendly, proactive, and professional internal and external support to others, assisting with inquiries, concerns, and issues promptly and effectively.

Essential Qualities for Success

 

  • At least 3 years of general building maintenance experience or equivalent combination of experience and education.
  • Proficiency with Microsoft Office Suite or related software.
  • Strong understanding of retail business practices.
  • Excellent verbal and written communication skills to convey ideas, instructions, and information clearly and concisely.
  • Proven track record of establishing and maintaining positive relationships.
  • Demonstrated ability to prioritize tasks, meet deadlines, and maintain a high level of attention to detail.
  • Ability to follow and adhere to established process.
  • Experience in managing multiple tasks and maintaining a proactive and results-driven approach.
  • Adaptable in response to changing priorities, unexpected challenges, and evolving business needs.
  • Strong problem-solving skills to quickly identify and address issues, minimizing potential delays or disruptions.

 

Physical Requirements 

 

  • Ability to maintain a seated or standing position for extended durations.
  • Capability to lift 15 pounds periodically.
  • Ability to navigate and access all facilities.
  • Skill to effectively communicate verbally with others, both in-person and via electronic devices.
  • Close vision for computer-related activities.
